AI-Powered Reservation & Inventory Management for a Restaurant Chain

AI-Powered Reservation & Inventory Management for a Restaurant Chain
Use Case

Overview

The restaurant chain 'Zum Goldenen Löwen' operates four locations in the Zurich region with a total of 280 seats. Each location specializes in traditional Swiss cuisine with seasonal specialties. The company employs 45 staff and processes an average of 150 reservations per day via phone, email, Instagram, their website, and walk-in requests. With growing popularity, manual reservation management became a bottleneck, and the unpredictability of daily guest numbers led to regular over- or under-production in the kitchen.

How this project was delivered

A use case from projects delivered by our Swiss partner Webzenz Switzerland. Swisszenz in Kakkanad, Kochi, collaborates with Webzenz Switzerland on comparable software and AI projects.

Background

Context

Owner Thomas Brunner runs the restaurant chain as a second-generation proprietor. He had already tried implementing an online reservation system, but the solution only covered the website channel, phone calls and social media inquiries still required manual handling. Channel fragmentation led to double bookings, and service staff spent 2-3 hours daily on reservation management alone. Meanwhile, no-show rates stood at 18-22%, which at an average cover of CHF 55 meant significant revenue losses. In the kitchen, ingredients were ordered based on experience, leading to shortages on some days and waste on others.

Challenge

The Problem

The core problems condensed into three areas: First, multi-channel reservation management was fragmented and error-prone. Reservations came through five different channels but were managed in a single paper book (and partially in an Excel spreadsheet). Double bookings occurred weekly. Second, the high no-show rate averaging 20% cost the business an estimated CHF 4,400 per month in lost revenue. There was no systematic reminder system. Third, purchasing planning was based on gut feeling. The head chef ordered based on years of experience but could not systematically account for seasonal fluctuations, weather influences, and local events. Food waste was estimated at 15% of purchasing volume.

Approach

Our Solution

We implemented a two-part AI solution: a reservation agent and a demand forecasting system. The AI reservation agent was integrated into all five channels: website widget, email parsing, Instagram DM autoresponder, a phone voice interface, and a walk-in tablet at the entrance. The agent understands natural language in German, English, and French, confirms reservations immediately, manages waitlists when fully booked, and sends automatic reminders 24 hours and 2 hours before the appointment via SMS and WhatsApp. When no-shows occur, waitlisted customers are automatically notified. The demand forecasting system analyzes historical reservation data, weather data, local event calendars, and seasonal patterns. It forecasts the expected guest count and recommends purchase quantities for the 40 most frequently used ingredients. The head chef receives an optimized shopping list via app every morning at 6 AM.

Execution

Implementation Highlights

Implementation occurred in three phases over 8 weeks. In phase one (weeks 1-2), data analysis was conducted: 18 months of historical reservation data were captured, patterns identified, and AI models for demand forecasting trained. In phase 2 (weeks 3-5), the reservation agent was built and gradually integrated into individual channels: first website, then email, then Instagram and phone. The walk-in tablet came last. In parallel, the demand forecasting system was calibrated. In phase 3 (weeks 6-8), the agent ran in parallel operation: service staff reviewed every reservation accepted by the agent and provided feedback. The accuracy of purchasing recommendations was checked daily against actual needs. Particularly important was the close collaboration with the head chef, who was initially skeptical but recognized the benefits of data-driven purchasing planning after the second week.

Impact

Key Results

After three months of production operation, results showed significant improvement across all core areas. The no-show rate dropped from 20% to 12%, a 40% reduction. The automatic reminder service via SMS and WhatsApp proved to be the decisive factor. Monthly savings totaled CHF 3,200: CHF 1,760 from fewer no-shows, CHF 950 from reduced food waste, and CHF 490 from saved staff hours in reservation management. Food waste decreased by 35%, as purchase quantities are now planned data-driven rather than experience-based. The head chef reports that forecasts fall within 10% tolerance of actual demand in 85% of cases. Service staff save 2 hours daily, now available for guest care. Customer satisfaction increased measurably: the Google rating improved from 4.2 to 4.5 stars, with several reviews praising the 'hassle-free booking'.

Takeaways

Key Learnings

Three insights were particularly valuable: First, parallel operation with the existing team was crucial for acceptance. Service staff needed to see that the AI agent does not replace their work but handles the most frustrating parts of it. Second, the reminder system integration had the single largest ROI contribution, a comparatively simple feature with enormous impact. Third, demand forecasting needs at least 12 months of historical data to reliably recognize seasonal patterns. It works fundamentally with less data, but accuracy for seasonal specialties improves significantly with more data history.
